SPRING CONVOCATION 2010
June 18, 2010

**Application to Graduate Form**

**Students from the current convocating classes are invited to submit their photos and personal statements for the "Memories of RRU" Slideshow. For further information, please e-mail rru-convocation-slideshow@royalroads.ca .
                          

Location
Convocation ceremonies will be held inside a large marquee on the beautiful grounds of Royal Roads University and Hatley Park National Historic Site. The marquee will be erected on the paved parking lot (Lot 3) between Hatley Castle and the lagoon. Complimentary parking will be available below the marquee and disabled parking will be available adjacent to the marquee. The marquee will be heated, but depending on conditions it could still be a bit cool for some, especially in the morning. You and your guests should dress according to the weather of the day. The university's address is 2005 Sooke Road, Victoria, BC. 
 

Timing
Two ceremonies will be held that day and will last approximately two hours each.  All programs under the Faculty of Social and Applied Sciences will make up the 9:30 a.m. ceremony, and all programs under the Faculty of Management and the Centre for Applied Leadership and Management will make up the 2:00 p.m. ceremony. Reception
Graduates and their guests are invited to Hatley Castle after the conclusion of each ceremony for light refreshments on the Hatley Castle Terrace, featuring tea, coffee, finger foods and desserts. The reception will be approximately one hour.

Guest Seating
The Application to Graduate (ATG) form (available March 12, 2010) will allow each graduand attending convocation to request up to four guest seats. Do not count yourself in the ticket numbers; your space is already reserved. Small children who can sit on an adult's lap will not need to request a seat. If additional seating is available, it will be posted on this site following the deadline for the ATG form (May 2010). At that time, you will be advised how to request the seating.

Convocation Regalia
Graduates are required to wear a black cap with a tassel and a black gown for their ceremony. A degree hood is worn for degree recipients only. These items are reserved when you complete your on line ATG form and must be returned after the ceremony.
Gowning Pick Up Room
Learners must report to Grant Building one hour and 30 minutes prior to their ceremony for gowning, then proceed to the Grant Quarterdeck to be lined up for the processional. Gowning assistants will be on hand to assist you with pinning, fitting, etc.
 
Gowning Return Room
Immediately after your ceremony and any pictures you may wish to have taken, please return your Convocation regalia to Grant Building. Please note that these items must be returned before 5:00pm to avoid a fee.
 
RRU does not sell academic hoods or gowns, but these can be purchased directly from our supplier, Gaspard & Sons 
 
 
Photography
During the ceremony, we have professional photographers capturing photographs of each graduand as well as videotaping each ceremony. 
 
Diplomas
The diploma hand out room is Grant 228. You must bring photo identification to pick up your diploma following your ceremony.  Diplomas not picked up following each ceremony will be mailed to the address on file two to four weeks after convocation by the Registrar's Office.

Payment of Outstanding Fees/Fines
Graduate diplomas and transcripts will not be released to learners who have outstanding accounts with the university (e.g. tuition fees/fines, residence payments, etc.). Therefore, learners are urged to clear all outstanding accounts prior to convocation to ensure your documentation is available. Information regarding the balance of a learner's account or to settle outstanding fees may be obtained by e-mailing RRU-Learner-Accounts@royalroads.ca.
 
Accommodations
There is a limited amount of on-campus accommodations available in the Residences. Please contact the Housing Department at (250) 391-2549. There is also a number of downtown Victoria hotel chains to consider.
 
The Victoria Marriot Inner Harbour is offering RRU graduates and their families with a negotiated room rate of $169.00 per night. For reservations, please contact 250-480-3800 local) or toll-free in Canada and the USA at 1-866-306-5451 and inform reservation that they are with ROYAL ROADS UNIVERSITY.
 
The Inn at Laurel Point will also be offering RRU graduates and their families a preferred Corporate rate. Please contact their reservations department at 1-800-663-7667 and quote our Account Code: ROYAL ROADS to secure their lowest available rate.

 

Transportation and Parking
Free parking, including access for special needs, is available near the convocation marquee. BC Transit bus route 52 CanWest via Wishart connects downtown Victoria to the entrance gates to Royal Roads. Check the B.C. Transit Web site for routes and times. Local taxi service is also available.
 
Special Assistance
If you or any of your guests require special needs parking, special seating (e.g. wheelchair), or any other special service (e.g., wheelchair access to the stage) please contact the Event Planner at convocation@royalroads.ca, or phone (250) 391-2600, ext. 4188 at least two weeks prior to convocation to make appropriate arrangements. A wheelchair is available to those who require assistance getting from their car to the marquee; however you will be responsible for bringing your own wheelchair for personal use during the ceremony and reception.
 
Children
Children of all ages are welcome to attend convocation ceremonies; young children must be under adult supervision. A baby change area will be available in the marquee.
 
Washrooms
Portable toilet stalls will be conveniently located near the marquee with. Washroom facilities for those with special needs are available near the marquee, as well as on the first floor of Hatley Castle. 

Missing Your Diploma?
If you were unable to attend the convocation ceremonies your diploma will be mailed out two to four weeks after the ceremony from the Registrar's Office. If you do not receive your diploma, there are two reasons why this may have occurred:

  1. You currently have outstanding fees on your record, which prevents any documentation being sent to you. Please contact Learner Accounts if you believe this may be the case; or
  2. Your current address is not up to date in the student information database. If you have recently moved and have not provided information on your new address to the university, contact the Registrar's Office at 250-391-2511, ext. 4862.
RRU Alumni
Congratulations again and welcome to the RRU Alumni Community! You are an important member of the Royal Roads community; a community comprised of alumni, learners, faculty, staff, and volunteers. Your fond memories, friendships, experiences, and academic accomplishments are valued elements of Royal Roads' history - and an essential part of its future.
